CareerFinders, on behalf of our client, a long established and expanding Group of Companies with offices across Cyprus, we are seeking to recruit a Corporate Administrator to join their growing team based in Nicosia. The successful applicant will support the legal team of the Group, coordinating all aspects of company secretarial matters including the preparation of agendas, collation and distributing of board packs, drafting minutes and resolutions for routine matters as well as assisting with the certification, apostille and legalization of various corporate documents. You will need to posses approximately 3+ years of experience as a Corporate/Legal Administrator, ideally working for Law Firm or Corporate Service Provider and any academic background related to Law will be considered an advantage. Excellent verbal and written communication skills in both Greek & English are essential. Our client offers Hybrid working conditions for this position.

Key Duties/Responsibilities: 

  • Dealing with a day-to-day administration of the Group of the Companies and managing corporate work within the organisation.
  • Serving as primary support of the Legal team.
  • Communication and submission of the necessary documentation to the Registrar of Companies.
  • Excellent practical knowledge of corporate procedures and statutory forms/documentation of the Cyprus Registrar of Companies (e-Filing system).
  • Preparation of mandatory documentation for the incorporation, administration and liquidation of the Companies.
  • Drafting of resolutions/minutes and other internal documentation/agreements.
  • Coordinating all aspects of company secretarial matters including the preparation of agendas, collation and distributing of board packs, obtaining directors availability, drafting minutes and resolutions for routine matters as well as arranging their execution.
  • Liaising with the Secretary / Agents / Insurance Companies / Auditors of the Group of the Companies and other external consultants on various corporate and banking matters.
  • Maintenance of various registers and databases of documents up to date: corporate registers, agreements, PoA, Resolutions, Minutes, etc…
  • Assisting with certification, apostille and legalization of documents.
  • Be involved in the incorporation and ongoing maintenance and changes to particulars of the companies of the group in jurisdictions worldwide.
  • Ensuring that all necessary changes that need to be communicated with the applicable corporate authorities and/or agents are made on time, and that all certificates and KYC information are updated and kept in file.
  • Being involved in any ad-hoc projects and provide support accordingly.
  • In general assisting with any legal or corporate matter that may occur.

Key Skills/Experience: 

  • Holder of a University degree in Business Management, Business Administration and/or Diplomas or certificates in Secretarial Studies will be considered as an advantage.
  • A Degree in Law will be considered an advantage.
  • Approximately 3+ years of experience in a similar position (administration of companies in a law firm or administrative services provider).
  • Knowledge of Cypriot Corporate Governance.
  • Legal/law background would be considered an advantage.
  • Experience in liaising with the Registrar of Companies and other authorities.
  • Excellent practical knowledge of Cyprus Companies Law.
  • Experience in the financial services industry would be considered an advantage.
  • Fluent in English and Greek both written and oral must be at professional proficiency.
  • Well–developed analytical and problem–solving skills.
  • Ability to work in a dynamic and multicultural environment.
  • Communication skills, organizational skills, juggling numerous priorities under strict deadlines, analytical skills.
  • Proficiency in the use of Microsoft Office (especially Outlook and Excel).
