CareerFinders, on behalf of our client, a dynamic consultancy specializing in Platform Engineering, Software Delivery, and Cloud Strategy, we are seeking to recruit a Personal Assistant (Maternity Cover) to join their growing team based in Nicosia. As a Personal Assistant, you will support the CEO of the Company with day-to-day administrative tasks, as well as managing and coordinating the CEO’s schedule, including meetings, appointments, rescheduling requests, out-of-office, and liaising with external parties for meeting scheduling. An academic background relating to Secretarial Studies, Business Administration is desired, and proven experience as a Personal Assistant, Executive Assistant, or in a similar administrative role, preferably supporting a high-level executive is essential. Excellent verbal and written communication skills in Greek and English are a must. The duration of this role will be approximately 6 months in total, and therefore suits someone immediately available for employment who is looking to gain some valuable experience in an administrative role.
Key
Duties/Responsibilities:
- Efficiently manage and coordinate the
CEO’s schedule, including meetings, appointments, rescheduling requests,
out-of-office, and liaising with external parties for meeting scheduling.
- Act as the primary point of contact for
internal and external communications on behalf of the CEO, screening and
directing phone calls, emails, and other correspondence.
- Organise and prepare for meetings,
including drafting agendas, taking minutes, and ensuring follow-up on
action items.
- Arrange detailed domestic and
international travel plans, including flights, accommodations, and
itineraries.
- Handle filing, data management, and other
administrative duties for our CECG office in Nicosia and London to operate
efficiently.
- Assist in planning and coordinating
company events, including logistics, catering, and guest arrangements.
- Proactively identify and address issues,
offering practical solutions to administrative and operational challenges.
- Manage office inventory and coordinate
facility needs, including supplies, maintenance, and vendor relations, to
support daily operations.
- Provide comprehensive support for various
projects, including research, data analysis, and report generation.
- Assist with tracking progress on strategic
initiatives and supporting operational tasks that span business and
executive-level responsibilities.
- Offer occasional support with personal and
lifestyle-related matters to ensure the CEO’s bandwidth remains focused,
including assistance with family logistics, household coordination, and
other private ongoing commitments.
Key
Skills/Experience:
- An academic background relating to
Secretarial Studies, Business Administration or similar is desired.
- Proven experience as a Personal Assistant,
Executive Assistant, or in a similar administrative role, preferably
supporting a high-level executive.
- Experience with Google Workspace (Gmail,
Google Docs, Google Calendar) or alternatively proficient in the Microsoft
Office suite. Experience with enterprise messaging tools (Teams, Slack).
- Exceptional verbal and written
communication skills, with the ability to convey information clearly and
effectively. Proficient in modern technology and using email, slack,
google meet, zoom etc.
- Strong ability to prioritize tasks, manage
time effectively, and maintain meticulous attention to detail.
- Professional demeanour with the ability to
interact effectively with the CEO, staff, and external partners.
- Resourceful and proactive in dealing with
issues that may arise, with a strong ability to think on your feet.
- Demonstrated ability to handle sensitive
information with discretion and integrity.
- Fluency in both verbal and written,
English and Greek is essential.
- Knowledge of Greek and/or Russian will be
considered an advantage.
- Consistently meets and exceeds high
