CareerFinders, on behalf of our client, a trusted technology partner to over 250 clients in both Cyprus and abroad, we are seeking to recruit a Personal Assistant to join their growing team based in the heart of Nicosia. As a Personal Assistant, you will support the CEO of the Company with day-to-day administrative tasks, as well as managing and coordinating the CEO’s schedule, including meetings, appointments, rescheduling requests, out-of-office, and liaising with external parties for meeting scheduling. An academic background relating to Secretarial Studies, Business Administration is desired, and proven experience as a Personal Assistant, Executive Assistant, or in a similar administrative role, preferably supporting a high-level executive is essential. Excellent verbal and written communication skills in Greek and English are a must.

Key Duties/Responsibilities:  

  • Maintain and organize the CEO's calendar, scheduling meetings, appointments, and travel arrangements.
  • Act as the primary point of contact between the CEO and internal/external contacts, ensuring effective communication for everyone involved.
  • Handle phone calls, emails, and correspondence on behalf of the CEO, ensuring prompt responses and appropriate filtering of information.
  • Arrange complex travel itineraries, including flights, accommodations, and transportation.
  • Prepare reports, presentations, and documents for meetings, ensuring accuracy and confidentiality.
  • Assist in organizing and coordinating meetings, including logistics, agendas, and follow-up actions.
  • Attend meetings with the CEO, take minutes, and distribute them as required.
  • Support the CEO in various projects, research, and special assignments.
  • Ensure timely completion of tasks and project-related deadlines.
  • Handle sensitive and confidential information with the utmost discretion and professionalism.

Key Skills/Experience:  

  • An academic background relating to Secretarial Studies, Business Administration, or similar will be considered an advantage.
  • Proven experience as an Executive Assistant, Personal Assistant, or other relevant role.
  • Excellent command of Greek and English, both verbal and written.
  • Excellent written and verbal communication skills.
  • Proficiency in office software and tools, including Microsoft Office.
  • Exceptional organizational and time management skills.
  • Strong attention to detail and accuracy.
  • Ability to multitask and prioritize effectively.
  • Discretion and trustworthiness in dealing with confidential information.
  • Flexibility and adaptability in a fast-paced environment.
