CareerFinders, on behalf of our client, an established and expanding Law Firm, we are seeking to recruit an Office Executive to join their growing team based in Nicosia. As an Office Executive, you will handle a range of administrative and basic accounting duties to support the needs of the business. Our client is seeking applicants who possess solid work experience as a Receptionist, Secretary, Office Manager, Administrator or in any other similar role, who possess at least some basic accounting and bookkeeping knowledge. You will need to be fluent in both verbal and written Greek and English, and possess outstanding organisational and time management skills. An attractive remuneration package is on offer, based on skills and experience.

Key Duties/Responsibilities:  

  • Greet and welcome clients, visitors, and staff in a professional and friendly manner.
  • Manage incoming phone calls and emails, redirecting inquiries as needed.
  • Manage booking of meeting rooms and assist with meeting preparations.
  • Provide general administrative support to the team, including document preparation, data entry, filing, and record keeping.
  • Handle basic bookkeeping, including invoicing, payments, petty cash, and liaising with external auditors for the flow of information.
  • Setting up and updating of physical client files including scanning and filing of documents.
  • Coordinate couriers, mail distribution, and shipping logistics.
  • Order and manage office supplies and inventory.
  • Ensure the smooth running of daily office operations.

Key Skills/Experience:  

  • A diploma in Secretarial Studies, Business Administration, or a related field is desirable, but not essential.
  • Solid work experience as a Receptionist, Secretary, Office Manager, Administrator or in any other similar role.
  • Basic knowledge of accounting and bookkeeping.
  • Proficient with Microsoft Office.
  • Excellent time management and communication skills, both written and spoken.
  • Strong organizational and time-management skills.
  • Capable of working on their own initiative and under pressure.
  • Pleasant personality.
  • Team-player.
  • Fluency in Greek and English.
