As an Office Administrator, you will handle a range of administrative, and basic bookkeeping duties to support the smooth operation of the office. Our client is seeking applicants who possess proven experience in a similar position, who possess basic knowledge of accounting and bookkeeping principles. You will need to be fluent in both verbal and written English, with any knowledge of the German language considered a plus. Key Duties/Responsibilities:

 

  • Organize and optimize office operations and assist the management and associates in various tasks.
  • Perform bookkeeping and financial tasks.
  • Assist with budget and forecasts preparation and monitor the cash flow.
  • Create and update databases and records for financial information, personnel records, and other data.
  • Prepare reports, spreadsheets, and presentations.
  • Coordinate information flow between management and associates.
  • Supervise members of the administrative staff and delegate tasks.
  • Assist with onboarding new employees and coordinate HR-related tasks.
  • Liaise with the office in Germany and respond to requests.
  • Plan and organize company events.
  • Assist colleagues with booking of business trips and travel expense reports.
  • Resolve office-related malfunctions and respond to requests or issues.
  • Maintain trusting relationships with suppliers, associates, and colleagues.

 

Key Skills/Experience:

 

  • An academic background relating to Secretarial Studies, Business Administration, or similar will be considered an advantage.
  • Proven experience in a relevant office administration role is required.
  • Knowledge of basic accounting and bookkeeping procedures, including budget tracking, cash handling, expense report preparation, and payroll processing.
  • Excellent organizational and time management skills.
  • Excellent written and verbal communication skills.
  • Excellent MS Office knowledge.
  • Fluency in written and verbal English.
  • German language skills will be considered an advantage.
  • Integrity and professionalism.
