As a Front-Desk Administrator, you will manage all incoming communication, coordinate office operations, and ensure smooth day-to-day administrative flow maintaining a structured, efficient, and professional environment across the company. You will ideally hold an academic background relating to Business Administration, Secretarial Studies, or another relevant field, and will need to possess previous experience in a relevant administration-focused position. Excellent communication skills in both Greek & English are essential, along with sound knowledge of MS Office applications and digital tools. Key Duties/Responsibilities: 

  • Answer and manage all incoming calls professionally.
  • Filter and redirect calls to the appropriate department.
  • Take clear and structured messages.
  • Handle basic client and supplier inquiries.
  • Organize meetings and manage shared calendars.
  • Coordinate meeting rooms and appointments.
  • Send reminders and ensure punctuality.
  • Receive and check incoming deliveries.
  • Verify delivery notes and documentation.
  • Notify warehouse and procurement immediately.
  • Maintain a log of all incoming items.
  • Manage emails (sorting, forwarding, responding where appropriate).
  • Print, scan, and organize documents.
  • Maintain both digital and physical filing systems.
  • Enter and update data in ERP and internal systems.
  • Maintain accurate records and contact information.
  • Manage office supplies and inventory.
  • Coordinate cleaning and maintenance services.
  • Ensure reception and office areas remain organized and professional.
  • Use tools like ChatGPT, Excel, and ERP systems to improve efficiency.
  • Assist in simple reporting or document preparation.

Key Skills/Experience: 

  • Ideally educated in Business Administration, Secretarial Studies, or a related field.
  • Previous experience in a similar administrative role is essential.
  • Strong organizational and communication skills.
  • Professional and presentable personality.
  • Comfortable with computers and digital tools.
  • Ability to multitask and prioritize effectively.
  • Fluent in Greek and English.
