CareerFinders, on behalf of our client, an international Family Office with expanding operations in Cyprus, we are seeking to recruit an Executive Assistant to join their growing team based in Limassol. The successful applicant will be responsible for managing a complex and busy schedule for the executive directors, as well as organising domestic and international travel, including flights, hotels, visas, and itineraries. As part of your role, you will also be liaising with service providers such as lawyers, accountants, and builders to ensure a results driven focus.  You will ideally be educated to degree level in a relevant field and possess proven experience in a similar PA/EA role ideally gained from supporting a busy family office. This role requires a discreet, trustworthy, and professional individual who always maintains confidentiality and who is able and willing to travel to EU destinations 2-3 times a month, with each trip expected to last 1-4 days. Strong communication skills, both written and verbal are a must. An attractive remuneration package is on offer, based on skills and experience.

Key Duties/Responsibilities:

 

  • Manage a complex and busy schedule for the executive Directors.
  • Organise domestic and international travel, including flights, hotels, visas, and itineraries.
  • Book restaurants, theatre shows, and social events as required.
  • Handle household administration, including managing mail, email, bills, insurance renewals, and invoices.
  • Maintain excellent communication with the internal and external employees.
  • Work closely with the builders, rental agencies, furniture providers etc to optimise rental of investment properties and maintenance of personal properties.
  • Checking flows / transactions on multitude of bank accounts/credit cards vs various bills & invoices.
  • Ensuring payments (across different properties & business vendors) occur on time and are recorded.

 

Key Skills/Experience:

 

  • A University Degree in a related field is desirable.
  • Proven experience in a similar Private PA/EA role supporting a busy family office.
  • Able and willing to travel to EU destinations 2-3 times a month, with each trip expected to last 1-4 days.
  • A discreet, trustworthy, and professional individual who maintains confidentiality at all times.
  • Excellent organisational and multitasking skills with a keen eye for detail.
  • Highly proficient with modern technology with strong skills in Microsoft Office/Google Suite/Excel.
  • Strong communication skills, both written and verbal.
  • Ability to work independently and anticipate needs without constant supervision.
  • High level of flexibility and adaptability.
  • A team player who can collaborate with internal and external employees.
  • Adaptable and quick-thinking, capable of handling last-minute changes.
  • Always responsive and available to handle urgent requests.
  • Up to date DBS/Criminal Certificate will be required.
