Personal Assistant to the Directors & CEO

CareerFinders, on behalf of our client, an established Group of Companies operating in the Retail and Hospitality sectors, we are seeking to recruit a Personal Assistant to the Directors & CEO to join their expanding team based in Limassol. The successful applicant will primarily be responsible for providing day-to-day secretarial and administrative support to the Directors & CEO of the Group. You will hold previous, demonstrable experience within a similar role and possess outstanding organisational and time management skills. Excellent communication skills in Greek & English are essential; knowledge of Russian will be considered an advantage.

Key Duties/Responsibilities: 

  • Assist and support the Directors and the CEO.
  • Help with the correspondence and the phone calls of the Directors.
  • Manage the diaries and organize the meetings and the appointments of the Directors where requested.
  • Be knowledgeable and remind the Directors of important tasks and deadlines.
  • Be able to type, compile and prepare any reports, letters and correspondence on behalf of the Directors.
  • Manage databases and filling systems in the office.
  • Assist with the organizing of events and other projects.
  • Collect and file any expenses occurred related to the Directors where required.
  • Conduct research on behalf of the Directors and the CEO where required.
  • Take telephone calls and respond in a professional and polite manner and provide assistance and information on requests to the Directors, the CEO, the customers, the partners and/or other members of the team.
  • Remain knowledgeable on all the occurrences happening in the company.
  • Liaise with co-workers, suppliers and ensure proper customer service.
  • Build productive trust relationships with the co-workers and the customers.
  • Overlook the cleaner’s duties including checking her time schedule, communicating to her specific responsibilities and supervises the quality of the work performed.
  • Organise travel arrangements for the Directors and the CEO including liaising with airlines, hotels, drivers etc.
  • Greet visitors, customers and appointments of the Directors and the CEO.
  • Organize the Directors’ personal commitments where required.
  • Perform any other related duties that may be assigned from time to time.

Key Skills/Experience: 

  • Holder of any Secretarial Studies/Degree will be considered an advantage.
  • Previous experience in a similar role, ideally providing administrative support to Senior Management is a must.
  • Good knowledge of the English and Greek languages; knowledge of the Russian language or any other language will be considered an advantage.
  • Calm, trustworthy with great organization skills.
  • Team player, proactive and problem solver.
  • Very good communication, persuasion and presentation skills.
  • Taking responsibility for own actions.
  • Able to work well under pressure.
