CareerFinders, on behalf of our client, a Family Office with both business and personal interests in Cyprus, we are seeking to recruit an experienced Executive Assistant to join their team. This position can be based anywhere in Cyprus and/or Remotely. The successful applicant will need to have strong and demonstrable experience in a similar role, with proven experience of organising and coordinating extensive international travel as well overall experience of supporting Senior Management, ideally within a Family Office environment. You will be required to travel extensively Internationally, up to two weeks per month and will speak an excellent level of fluent English. Knowledge of the French language will be considered an advantage.

Key Duties/Responsibilities: 

  • Support the family office operations by providing administrative support directly as well as to the wider family ecosystem when necessary.
  • Provide administrative support to the family in their leadership and management of the family office.
  • Work closely with the family and their family office and be responsible for the communication of information across the three principals to ensure all are aware of key updates as and when they arise.
  • Provide administrative support to the family to assist them in the completion of action points in a timely manner.
  • Carry out extensive diary management and coordination of meetings and calls, often over several time zones, and ever-changing diaries.
  • Organise business and personal travel, including arranging visas, travel, accommodation and restaurants, entertainment as required.
  • Get involved in various ad-hoc projects as and when required by the family.
  • Administer Medical Insurance and other relevant plans as required.

 

Key Skills/Experience: 

  • Degree Standard or equivalent.
  • Ideally 3+ years of relevant experience in a similar position.
  • Demonstrates a high level of autonomy, initiative and independence.
  • Excellent organisational skills that reflect the ability to perform and prioritise multiple tasks seamlessly with strong attention to detail.
  • Extensive Travel Coordination experience is a must.
  • Has a high degree of diplomacy and discretion with the ability to build relationships at all levels.
  • High level of flexibility and resourcefulness.
  • Proficiency in Windows, including MS Word, PowerPoint and Excel.
  • Excellent communication skills in English; knowledge of the French language will be considered an advantage.
  • Has the flexibility to work additional/out of hours as necessary to meet the principals’ needs as and when necessary.
  • Ability to travel extensively Internationally (up to 2 week per month).
