As a Legal Administrative Assistant, you will help to ensure smooth office operations, manage client communications, and assist with legal administrative tasks across the firm. An academic background in a relevant field of study will be considered an advantaged, and any prior experience gained working in legal administration or office support is highly desirable. Fluency in both verbal and written Greek and English is essential, along with proficiency in Microsoft Office and ideally case management systems, such as Zygos. Key Duties/Responsibilities:

 

  • Organize and manage appointments, deadlines, and reminders for legal advisors using the Microsoft Teams system to ensure timely workflow.
  • Filter, prioritize, and respond to emails, draft letters, memos, and client communications on behalf of legal advisors.
  • Handle initial client inquiries, schedule consultations, assist with client onboarding through Zygos software, and provide follow-ups and responses to client questions.
  • Collect and organize relevant financial information and provide it to the Data Collection Administrator for processing.
  • Maintain accurate case files and records in the Zygos system, ensuring all information is up-to-date and properly organized.
  • Arrange travel and accommodations for the team; handle visits to government authorities, including filing applications and managing interactions with ROC, Social Insurance, Migration, municipalities, and other relevant bodies.
  • Ensure the office environment runs smoothly, including coordinating the cleaner, managing office logistics, maintaining professional standards, and supporting day-to-day operations.

 

Key Skills/Experience:

 

  • An academic background in a relevant field of study such as Business Administration, Secretarial Studies, Law, or similar will be considered a plus.
  • Prior experience in legal administration or office support is highly desirable.
  • Strong written and verbal communication skills in English and Greek; Russian is a plus.
  • Proficiency in Microsoft Office and case management systems (Zygos system preferred).
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal abilities.
  • Attention to detail and high level of accuracy.
