CareerFinders, on behalf of our client, an expanding Financial Services company with offices in the heart of Nicosia, we are seeking to recruit a Front-Desk Administrator to join their growing team. As a Front-Desk Administrator, you serve as the first point of contact for visitors, clients, and employees, ensuring a welcoming and professional environment. This role is responsible for managing front-desk operations, coordinating administrative support, and assisting with daily office activities to ensure efficient business operations. An academic background relating to Business Administration, Secretarial Studies or another relevant field will be considered an advantage, and you will need to possess approximately 3+ years of proven experience in a similar front office, administrative, or office management role. Excellent communication skills both Greek & English are essential, along with strong administration and organisational skills. An attractive remuneration package is on offer based on skills and experience.

Key Duties/Responsibilities:

 

  • Greet and assist visitors, clients, and vendors; manage incoming calls and emails.
  • Maintain the reception area and ensure a welcoming office environment.
  • Coordinate the office calendar, schedule meetings, and conference rooms, and manage mail and deliveries.
  • Procure and manage office supplies; maintain inventory and vendor relationships.
  • Oversee relationships with external vendors and service providers (maintenance, cleaning, catering, IT support).
  • Support basic administrative tasks including document preparation, filing, data entry, and provide comprehensive day-to-day administrative office support.
  • Assist with ad-hoc projects and office improvement initiatives.
  • Serve as primary coordinator for the office art gallery.
  • Maintain gallery records, signage, and promotional materials; coordinate small gallery events/openings.

 

Key Skills/Experience:

 

  • An academic background relating to Secretarial Studies, Business Administration or similar will be considered an advantage.
  • Approximately 3+ years of experience in reception, office administration, or office management roles.  
  • Strong organizational and multitasking skills; attention to detail.
  • Excellent verbal and written communication skills in English and Greek.
  • Proficiency with Microsoft Office (Outlook, Word, Excel) and basic office equipment.
  • Excellent interpersonal, and communication skills.
